Countries Unified

A distribution company serving retailers across Rwanda, Burundi, and DRC was running its business on a patchwork of spreadsheets, WhatsApp messages, and a legacy accounting system. Each country office operated independently — there was no unified view of inventory, outstanding orders, or financial performance. Monthly financial closes took over two weeks.

We conducted a thorough business process analysis across all three country offices, then designed a modular ERP system that could be rolled out incrementally — starting with inventory and sales, then adding finance and HR modules. Local implementation partners in each country handled change management and user training.

  • Business process analysis across three country offices
  • Designed modular architecture for phased rollout
  • Built unified inventory, sales, and finance modules
  • Multi-currency and multi-language support (French, English, Swahili)
  • Partnered with local firms for change management and training

The ERP provides a single dashboard showing real-time inventory across all warehouses, pending orders by region, accounts receivable aging, and sales performance by product line. Sales reps use a mobile app to place orders in the field, which flow directly into the fulfillment queue. The finance module automates reconciliation and generates consolidated reports across all three entities.

Monthly financial close dropped from 15+ days to under 5 days. The sales team gained real-time visibility into product availability, eliminating overselling. Inventory carrying costs decreased by 25% as the company could finally see and manage stock across all locations from one screen.
